Terms & Conditions
These Terms & Conditions govern all bookings made with DARDA Sri Lanka Travel (“we”, “us”, “our”). By making a booking, you confirm that you have read, understood, and agreed to these Terms & Conditions. The lead traveller confirms that they have the authority to accept these Terms on behalf of all persons named in the booking.
- Formation of Contract
1.1 A contract between you and DARDA Sri Lanka Travel comes into existence once we issue written confirmation of your booking and receive the required deposit.
1.2 These Terms & Conditions, together with your confirmed itinerary and booking confirmation, form the entire agreement between the parties.
- Booking & Deposit
2.1 A non-refundable deposit is required at the time of booking to secure services.
2.2 Accommodation, transport, guides, and other ground services will be confirmed only after receipt of the deposit.
2.3 Where flights or special services require full payment or a higher deposit at the time of booking, you will be advised prior to confirmation.
- Payment Schedule
3.1 A payment of 50% of the total holiday cost is due 45 days (six weeks) prior to departure.
3.2 The remaining balance must be paid either:
- on arrival in Sri Lanka, or
- no later than 7 days prior to departure from your home country, if preferred.
3.3 Failure to make payments by the stated deadlines may result in the booking being treated as cancelled by you, with applicable cancellation charges applied.
- Payment Methods & Charges
4.1 Payments may be made by:
- bank transfer
- credit or debit card
- Sterling Pounds (GBP) or United States Dollars (USD)
4.2 Any bank fees, intermediary charges, or currency conversion costs are the responsibility of the traveller.
- Prices & Price Changes
5.1 Prices may increase or decrease prior to booking confirmation.
5.2 After confirmation, price changes may occur due to circumstances beyond our control, including but not limited to:
- currency fluctuations
- increases in government or third-party taxes or fees
- increases in fuel or transportation costs
5.3 Any such changes will be communicated in writing.
- Cancellations by You
6.1 All cancellations must be made in writing (email is acceptable).
6.2 The effective date of cancellation is the date on which written notice is received.
Cancellation Charges
The following charges apply per booking:
- More than 30 days before departure → deposit retained
- 28–15 days before departure → 50% of total holiday cost
- 14–8 days before departure → 75% of total holiday cost
- 7 days or fewer / No-show → 100% of total holiday cost
6.3 Deposits are strictly non-refundable, unless expressly agreed otherwise in writing.
- Changes by You
7.1 We will make reasonable efforts to accommodate amendment requests where possible.
7.2 Any additional charges imposed by suppliers will be payable by the traveller.
7.3 Significant changes may be treated as a cancellation and rebooking, subject to the cancellation policy above.
- Cancellations or Changes by Us
8.1 We reserve the right to cancel or make significant changes to a holiday where necessary.
8.2 If we cancel your booking for reasons other than non-payment, you will be offered one of the following:
- a full refund
- an alternative travel date
- a credit note towards a future booking
8.3 Refunds for cancellations made by us will be processed without undue delay and, where possible, within 14 days.
- Refunds & Processing Times
9.1 Where a refund is due:
- Refunds are normally processed within 14–21 working days
- Refunds are issued using the original payment method, unless otherwise agreed
9.2 Bank charges, intermediary fees, and exchange rate losses are non-refundable.
9.3 Retained amounts reflect irrecoverable costs already paid to airlines, hotels, or service providers.
- Our Responsibilities
10.1 We are responsible for arranging and delivering the travel services confirmed in your itinerary with reasonable skill and care, in accordance with applicable Sri Lankan tourism regulations and internationally recognised travel industry standards.
10.2 We shall not be liable where failure or delay in performance is attributable to:
- your actions or those of a member of your party
- a third party unconnected with the provision of the services and where such failure was unforeseeable or unavoidable
- unavoidable and extraordinary circumstances beyond our reasonable control
10.3 Where appropriate, we will provide reasonable assistance without undue delay.
- Force Majeure (Unavoidable & Extraordinary Circumstances)
11.1 We shall not be liable for disruption, delay, or cancellation caused by events beyond our reasonable control, including but not limited to:
- natural disasters
- political unrest or war
- pandemics or public health emergencies
- government travel restrictions
- airline or supplier failure
11.2 In such circumstances, we will offer one or more of the following:
- postponement of travel
- Rebooking to alternative dates
- , issuance of a credit note
11.3 Cash refunds may not be available where suppliers do not refund us.
- Travel Insurance
12.1 Comprehensive travel insurance is strongly recommended for all travellers to cover cancellation, medical expenses, personal belongings, and unforeseen circumstances.
- Governing Law & Jurisdiction
13.1 These Terms & Conditions, and any contract formed under them, shall be governed by and construed in accordance with the laws of Sri Lanka.
13.2 Any disputes arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
- Customer Assurance
We aim to operate in line with internationally recognised consumer protection standards and best practices commonly expected by travellers from the UK, Europe, and other international markets.
